When a tenant moves in and when they move out, you come, go through the flat room by room, photograph the condition, record the meters and keys and draw up a report both parties sign. When a deposit dispute comes, this document decides — and it carries more weight when it wasn’t written by the person holding the deposit.
You offer landlords, property managers and letting agencies independent handover reports: a check-in report when the tenant moves in and a check-out report when they leave. You go through the flat following a fixed procedure, document every room, the fittings, defects, meter readings and the number of keys, all with time-stamped photos, and send the report to both parties for signature the same day. In the UK this is a profession in its own right with its own association, and reports by independent inventory clerks carry more weight in deposit disputes than a landlord’s photos. In much of Central Europe, handover reports are written from online templates or not at all; an independent service that does them for landlords is rare. You sell evidence, not a tour.
A deposit is often several months’ rent, and after the tenancy ends the landlord returns it, deducting what the tenant owes. The tenant, in turn, hands back the flat in the condition they received it, apart from normal wear and tear. Whoever can prove the condition at the start and at the end wins every deposit dispute.
